Accounting
Accounting features in MMS are not restricted to any one module of our
software. Accounting is integrated across and built into all modules, however
the General Ledger (GL), Accounts Receivable (AR) and Accounts Payable
(AP) modules form the core of our accounting functionality.
General Ledger
The General Ledger is designed for branch-sensitive accounting and is fully
integrated with our Accounts Receivable, Point
of Sale, Inventory, and Accounts
Payable modules. You can post to any open period within the current financial
year, and can tightly control postings to closed periods. From within the
General Ledger you can access journal entries, view monthly posting totals
for the current and all prior years, and examine associated Accounts Receivable, POS, and Accounts Payable details for specific transactions.
Accounts Receivable
Customer Database
The customer database stores your customers by name, customer
number, account numbers, mailing address, shipping address, and telephone
numbers. You can create types (such as seniors, preferred, corporate, government,
or institutional) and tax status indicators to further group and identify
your customers, allowing you to provide personalized service. Customers
can have individual payment terms and shipping preferences recorded in
the system.
Customer historical sales tracking is available, recording the date, item
number, serial number, product description, product type, and price paid
for a purchased item, as well as total business to date and their repair
and service history.
You can also view activation plans associated with phone sales, view mobile
phone numbers for highlighted phones, and view asscociated scanned customer
identification images.
Client Account Management
Each customer can have multiple accounts associated with their name. The
different account types (invoiced, balance forward, open item, layaway,
lease/rent-to-purchase, or term) are available in any combination.
All account details are tracked, including the credit limit, account status,
interest rate, start date, date last paid, balance, and total interest.
Interest is automatically calculated on invoiced and balance-forward accounts.
Client Contact Management
You can link notes and reminders to a particular customer, and can create
customized notices or custom messages on statements. Mailing lists and labels
are easily created, allowing you to target customers with a particular postal
code / ZIP code, product interest, business value, age, gender, purchase history, or
other characteristic.
Accounts Payable
Supplier Information
The vendor database identifies your suppliers by name, vendor number,
mailing address, shipping address, and telephone numbers. You can create
types (such as trade, utilities, or services) to further identify your
suppliers. Suppliers can have individual monetary units, available terms,
shipping methods, purchase order discounts, volume discounts and general
comments recorded in the system.
A history of supplier activity is available, recording the number of outstanding
purchase orders, the number of checks issued, and the dollar amount of each,
as well as total business to date.
Supplier Account Management
Our Accounts Payable module supports split payments, recurring batches,
and posting of bank auto-debits. The full batch posting mechanism allows
any number of batches to be open at any time. Batch posting provides complete
edit and source journal reports with a full breakdown and summary of General
Ledger distribution.
Reports provide information about amounts owed, date owed, and cash requirement
projections. You can also identify the checks outstanding in each vendor file.
You can set up custom check and stub layouts, and can print mailing labels
for any supplier.
